1. Introduction
Welcome to CuppasCards SA, operated by Mitchy Moo (Pty) Ltd (Registration Number: 2025/318120/07). These Terms and Conditions govern your use of our website and the purchase of goods and services, including sealed products, single cards, card cleaning, and middleman grading submissions. By using our website, you agree to be bound by these terms.
2. Pricing and Payments
All prices listed on the website are strictly in South African Rands (ZAR). We do not accept payments or process quotes in foreign currencies. All payments are made by EFT (Electronic Funds Transfer) to our business bank account, using your order number as the payment reference. Shop orders reserve their items for 48 hours and are cancelled if payment has not been received by then. Goods and services will only be fulfilled once payment has cleared in full.
Grading submissions are priced per card on a fully loaded basis: the per-card fee includes the grading fee, outbound and return international airfreight between South Africa and the UK, fuel surcharges, and prep materials (pre-grade wipe down and semi-rigid sleeving). DHL round-trip insurance (section 5.1) and estimated customs and VAT (section 6) are shown as separate lines at checkout. Domestic return delivery within South Africa is not included and is billed separately once your cards return to South Africa (section 4.2).
3. Grading Submission Services & Turnaround Times
When utilizing our middleman grading services to our third-party grading partner, PCG Grading (located in the UK), CuppasCards SA acts strictly as a facilitator for shipping and logistics.
- Turnaround Times: All grading timeframes listed (e.g., 30 days) refer strictly to business days while the cards are physically at the grader's facility in the UK.
- Transit Times: You must add an estimated 5 business days for the outbound international freight to the grader's facility in the UK, and an additional 5 business days for the return freight (UK to South Africa), in addition to local domestic transit times.
- Pooled Batch Logistics: To ensure the most economical international freight rates for our clients, we operate a bulk/pooled submission model. Client cards are held securely at our intake facility until our minimum batch threshold is met. Please note that active tracking and estimated turnaround times strictly commence only once the consolidated batch has been dispatched from our South African facility, not on the date of your individual payment or drop-off.
- We do not guarantee specific grades, nor do we guarantee exact return dates, as customs clearance and grading volumes are beyond our direct control.
4. Shipping & Delivery Policy
4.1 Domestic Shop Orders
- Flat Rate: Standard Shop purchases carry a flat domestic shipping rate of R 110,00 per order.
- Couriers: We utilize trusted local partners (The Courier Guy / Pudo) for secure, tracked delivery across South Africa.
- Processing: In-stock shop orders are typically dispatched within 1 to 2 business days.
4.2 Grading Submission Logistics (Middleman Service)
- Domestic Legs: Clients handle and pay for shipping their cards to our intake facility. Final domestic return delivery from our facility in Swellendam to your door is not charged at checkout: it is calculated and billed upon completion, once your cards are back in South Africa. Options include Pudo Locker (from R 60,00), DHL Express Door-to-Door (from R 250,00), or Free Local Collection.
- International Freight: Outbound and return international freight for pooled batches is included in the fully loaded per-card fee and dispatched using expedited, secure international couriers.
5. Insurance, Liability, and Dispute Handling
5.1 DHL Round-Trip Insurance Coverage
- Mandatory Protection: To safeguard your high-value assets, mandatory round-trip transit insurance via DHL is applied to all international grading submissions.
- Calculation: Insurance is mandated by DHL at a premium of 1% of the item's declared value per transit leg. To ensure adequate protection on the return journey after your cards have been graded, return values are automatically calculated and insured at twice (2x) your initial declared raw value. Therefore, the total insurance premium applied at checkout is effectively 3% of your total declared raw value (1% outbound + 2% return).
- DHL Terms of Carriage: By utilizing this service, you also agree to the official DHL Express Terms and Conditions of Carriage, which govern the international transit and insurance liability limits of your submission. You can review their full terms here.
5.2 Liability Limits & Disputes
- CuppasCards SA acts strictly as a secure middleman. We are not liable for delays caused by customs, international freight carriers, or the grading company.
- Lost or Damaged Items: In the unlikely event of loss or damage during transit, CuppasCards SA’s liability is strictly limited to the finalized payout from the DHL insurance claim. Compensation will be based on your original declared value in ZAR (or the 2x estimated graded value if lost on the return leg). We will act on your behalf to facilitate this dispute and claim with DHL, but no payouts will be made by CuppasCards SA until the DHL claim is successfully settled and paid.
6. Customs, Duties, and Taxes
- Import Assessments: International return shipments from the UK are subject to South African customs clearance.
- Client Responsibility: Estimates typically include a ~20% customs duty assessment and 15% VAT levied on the declared grading and service values upon re-entry. These baseline estimates are built into the submission flow, but any exceptional levies imposed by SARS Customs remain the sole liability of the client.
7. Refund & Return Policy
7.1 Shop Purchases
- Sealed Product: Unopened, factory-sealed products may be returned within 7 days of delivery for a full refund, minus the original R 110,00 shipping cost and return shipping fees. Tamper-proof seals and shrink wrap must be completely intact.
- Single Cards: Due to market volatility and condition sensitivities, all sales of single cards (raw or graded) are strictly final.
7.2 Grading Submissions
- Pre-Dispatch Cancellations: You may cancel a grading submission for a full refund (minus non-refundable payment gateway fees) only if requested before your cards have been processed and dispatched in an outbound batch.
- Post-Dispatch Finality: Once a batch has left our South African facility en route to the grader, the service is locked. No refunds, tier changes, or cancellations can be processed.
- Add-ons: Fees paid for optional add-ons (Half Clean, Full Clean, Label Options) are non-refundable once physical work has commenced at our intake facility.
- Grader Outcomes: We offer no refunds, partial credits, or compensation if a card receives a lower grade than expected from PCG Grading.
